Getting Consent for Live Session

Live Session captures and transcribes audio from your meetings to provide real-time intelligence, summaries, and action items.

Because this may involve recording other participants, you are responsible for ensuring you have the appropriate consent before using Live Session.

We strongly recommend always informing participants before starting a Live Session, even if not legally required in your jurisdiction.

Consent requirements

Recording laws vary by country, state, and region.

Some jurisdictions require consent from all participants before recording a conversation, while others only require consent from one party.

When using Live Session, you are solely responsible for understanding and complying with the laws that apply to your meetings and participants.

Chief does not determine, enforce, or validate consent on your behalf.

If you record or transcribe a conversation without the required consent, you may be subject to legal consequences under applicable laws.

Your responsibility as a user

By using Live Session, you agree that:

  • You are responsible for obtaining consent from all meeting participants before recording or transcribing begins

  • You will comply with all applicable recording and wiretapping laws in relevant jurisdictions

  • You understand that Chief does not monitor, verify, or enforce consent

  • You assume full responsibility for how you use Live Session in meetings

Recommended consent practice

Even when not legally required, we recommend clearly informing participants that Live Session is active.

A simple disclosure such as the following is typically sufficient:

“I’m using an AI assistant to take notes and transcribe this meeting. Is everyone okay with that?”

Making this disclosure helps ensure transparency and reduces ambiguity around recording expectations.

How Live Session handles audio data

When you start a Live Session:

  • Audio is captured from your device (microphone and system audio)

  • Audio is transmitted securely to transcription providers for real-time processing

  • Transcripts are generated and returned to Chief for analysis and summarization

Chief does not rely on visible meeting bots or join calls as a participant. Audio capture occurs locally on your device.

Subprocessors (audio transcription)

Chief uses third-party providers to process audio and generate transcripts.

When you use Live Session, your audio may be processed by:

These providers process audio solely to convert speech into text for Live Session functionality.

You should review their privacy policies before using Live Session.

Data usage

When you use Live Session, Chief may process:

  • Live audio from your meetings

  • Generated transcripts

  • Speaker attribution (when available)

  • Session metadata (time, duration, project association)

  • Summaries, insights, and action items generated from the session

We use this data to:

  • Provide real-time transcription and intelligence during meetings

  • Generate summaries and structured outputs after sessions

  • Enable search and retrieval of past sessions

  • Improve product performance (only where permitted and configured)

Data retention and control

  • You can delete recordings and transcripts at any time

  • Data retention policies apply to audio and transcript storage based on your account settings

  • Audio data is encrypted in transit and at rest

We recommend reviewing your organization’s retention and compliance requirements before using Live Session for sensitive meetings.

Important limitations

  • Live Session does not determine whether consent is required in your jurisdiction

  • Chief does not provide legal advice on recording laws

  • You are responsible for ensuring compliance with applicable laws and regulations

  • Live Session must be explicitly started by you; it does not record by default without user action

Enterprise and organizational use

Organizations using Live Session may implement additional internal policies regarding:

  • Meeting recording disclosure standards

  • Data retention rules

  • Consent workflows

  • Approved usage environments

Chief provides tools for recording and transcription, but compliance policies remain the responsibility of the user or organization.

Summary

Live Session is a powerful real-time intelligence tool, but it relies on you to use it responsibly.

Before recording any meeting:

  • Inform participants

  • Ensure consent where required

  • Follow applicable laws in your jurisdiction
